This Privacy Policy explains how Young’s Inc. (“Young’s Inc.,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with IMPACT Solutions, including the IMPACT web application, the IMPACT mobile app, and the impactreportingsolutions.com website (together, the “Service”).
IMPACT Solutions is a business-to-business platform for transportation safety, accident and incident reporting, injury reporting, claims management, corrective actions, driver and employee management, and operational reporting.
1. Information We Collect and Process
IMPACT Solutions collects and processes information that is provided by users, entered by authorized users on behalf of their organization, or generated through use of the Service. Depending on how an organization uses IMPACT Solutions, this may include:
- Contact information, such as name, email address, phone number, and physical address.
- Account and user identifiers, such as user ID, organization, role, job title, and sign-in records.
- Employee and driver information entered by an organization, such as employee or driver numbers, assignments, training, and personnel records.
- Accident, incident, and report content, including descriptions, dates, vehicles and equipment involved, witness information, and other details entered into report forms.
- Precise location, when used to document where an accident, incident, injury, or other reported event occurred.
- Photos and videos uploaded or captured for reports, along with other documents and attachments.
- Injury and health-related information submitted through injury and incident workflows, including information related to workers’ compensation claim forms.
- Claims, corrective action, citation, and inspection records created or managed within the Service.
- Communications, such as emails and text messages sent through the Service (for example, a secure link for an employee to complete a form) and messages sent to our support team.
- Technical and usage information, such as device and browser type, operating system, IP address, log data, and activity records used for security and auditing.
Information collected through this website
When you request a demo or contact us through impactreportingsolutions.com, we collect the information you submit, such as your name, company, job title, business email address, phone number, fleet or company size, and message. To protect our forms from abuse, we also record your browser’s user-agent string and a one-way hashed form of your IP address. This website uses aggregated, privacy-focused analytics to understand overall site traffic; it does not use advertising cookies or track you across other websites.
2. How We Use Information
We use information to provide and operate the functionality of IMPACT Solutions, including to:
- Authenticate users, manage sessions, and administer organizational accounts, roles, and permissions.
- Enable accident and incident reporting, injury workflows, and related claim documentation.
- Support claims management, corrective actions, citation and inspection records, and driver and employee recordkeeping.
- Generate reports, dashboards, and exports for authorized users within an organization.
- Send service communications, such as notifications, announcements from an organization’s administrators, invitations, and secure form-completion links by email or text message.
- Provide AI-assisted features, such as extracting fields from an uploaded citation or inspection document so that a user can review them before saving.
- Maintain security, prevent misuse, keep audit records, troubleshoot issues, and improve the reliability of the Service.
- Respond to demo requests, support requests, and other inquiries.
- Comply with legal obligations and enforce our agreements.
IMPACT Solutions does not use personal information for third-party advertising, does not sell personal information, and does not track users across other companies’ apps or websites. Mobile phone numbers used for service text messages are not used for marketing and are not shared with third parties for their marketing purposes.
3. Precise Location Information
IMPACT Solutions may collect precise location information when it is used to document the location associated with an accident, incident, injury, or other applicable report. Location may be entered manually or, where a user grants permission on their device, captured from the device at the time a report is completed.
Location information is used only to record where a reported event occurred and to support the organization’s review of that report. It is not used to continuously track users, and it is not used for advertising. You can disable location access at any time in your device settings; you can still enter a location manually.
4. Photos, Videos, and User-Submitted Content
Users may upload or capture photos, videos, documents, and other attachments as part of a report or record. When a user chooses to use the device camera or photo library, IMPACT Solutions accesses only the items the user selects or captures for that purpose.
Uploaded files are kept in private storage that is not publicly accessible and are available only to authorized users within the organization that submitted them, according to that organization’s roles and permissions. Users should avoid uploading content that is not relevant to the report or record being completed.
5. Injury and Health-Related Information
Injury and incident workflows may involve health-related information, such as the nature of an injury, the body part affected, treatment received, and information needed to complete workers’ compensation claim forms. This information is provided by the organization’s authorized users or by the injured employee, for example through a secure, single-use link to complete their portion of a claim form.
Health-related information is used only to document the event, support the organization’s injury reporting and claims processes, and meet the organization’s recordkeeping obligations. Access is limited to users whose roles and permissions allow them to view it. We do not use health-related information for advertising or marketing.
6. Organizational Accounts and Business Customers
IMPACT Solutions is a business-to-business service intended for use by authorized users of subscribing organizations, such as transportation companies and their safety, claims, HR, and management teams. Accounts are created by invitation from an organization’s administrators; there is no public self-signup.
Each organization controls the information its users enter into the Service and decides who in the organization may access it. Young’s Inc. processes that information on the organization’s behalf to provide the Service. Each organization’s data is kept separate from other organizations’ data. If you use IMPACT Solutions through your employer or another organization, that organization’s own privacy practices also apply to your information, and questions about your records may be directed to it.
7. Service Providers and Third Parties
We share information with service providers that perform services on our behalf, only as needed to operate IMPACT Solutions. These include providers of:
- Cloud hosting, infrastructure, and data storage
- Email delivery
- Text message (SMS) delivery
- AI-assisted document processing, used when a user requests field extraction from an uploaded document
- Website analytics and operational monitoring
These providers may use information only to provide their services to us. We may also disclose information:
- To authorized users within the organization that controls the information.
- When required by law, subpoena, or other legal process, or to protect the rights, safety, or property of our users, our customers, Young’s Inc., or others.
- In connection with a merger, acquisition, financing, or sale of all or part of our business, subject to this Privacy Policy.
- With your consent or at the direction of your organization.
We do not sell personal information or share it with third parties for their own advertising.
8. Data Security
We use administrative, technical, and organizational safeguards designed to protect information, including:
- Authenticated access with secure session management and hashed passwords
- Invitation-only account creation using single-use, time-limited invitation links
- Role-based permissions and per-user access controls
- Separation of each organization’s data, enforced on our servers
- The ability for administrators to disable accounts and end active sessions
- Audit logging of administrative and sensitive actions
- Private, non-public storage for uploaded documents, photos, and videos
- Encrypted connections (HTTPS) between your device and the Service
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please protect your sign-in credentials and notify your administrator or us promptly if you believe your account has been compromised.
9. Data Retention and Deletion
We retain information for as long as an organization’s account is active and as needed to provide the Service. Because reports, claims, and personnel records are often subject to recordkeeping requirements, organizations generally determine how long their records are kept, and some information may be retained for longer where required by law or to resolve disputes and enforce our agreements.
When an organization’s subscription ends, its information is deleted or returned as described in that organization’s agreement with us, except where retention is required by law. Information submitted through our website forms is retained as long as needed to respond to the inquiry and maintain our business relationship.
To request deletion of your account or personal information, contact your organization’s administrator or email support@impactreportingsolutions.com. Where information is controlled by your organization, we will work with that organization to respond to your request.
10. Privacy Rights and Requests
Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information, to receive a copy of it, or to object to or restrict certain processing. We will not discriminate against you for exercising these rights.
To make a request, email support@impactreportingsolutions.com. We may need to verify your identity before responding. If your request relates to information that your employer or another organization entered into IMPACT Solutions, we may refer your request to that organization, or process it on that organization’s instructions.
11. Children’s Privacy
IMPACT Solutions is intended for authorized organizational and business users and is not directed to children. We do not knowingly collect personal information from children under the age of 13. If you believe a child has provided personal information to us, please contact support@impactreportingsolutions.com and we will take appropriate steps to delete it.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page and, where the changes are material, provide additional notice through the Service or by other appropriate means. Continued use of IMPACT Solutions after an update takes effect means the updated policy applies.
